List Preparation

Guidelines

 

Require 15-20% extra envelopes.

FOR ADDRESSES/MAILING LISTS:

 

Format of lists; preparation this way allows me to work quickly and efficiently.  Also, list is easier for client to proof and stuff. Email me word doc . 

NOTE:  If you are unsure of names/addresses or have incomplete addresses, put these at the end of the list.  You can note them and I will check in before I complete.  DO NOT use color on list---I do not use a color printer.  For sets, 2 columns work best.

  • All Streets, Avenues, States, Post Office Box spelled out---no abbreviations except for D.C. and streets/cities that are normally abbreviated such as St. Louis, No. Moore Street, D Street NW

 

  • Apartment numbers will be written on same line as street address, separated by a bullet (123 Main Street *  C3 ) unless client requests to have Apartment fully written out on another, extra line and provides list in that manner.    

 

Additional names:  Children’s first names only are on 2nd line for inner envelopes.  If there are two adults (unmarrieds or spouse retained her maiden name) names will be written on 2 lines.  Unmarried couples are not joined by an ‘and’.  If using outer envelopes only, children’s first names are then written on 2nd line.  Adult children over 18 living at home should get their own invitation.  

 

Titles:  I refer to Crane’s guide.  Only medical doctors are listed as Dr.  “Social” rules apply to other titles.  If you have a specific question about protocol, feel free to ask.

 

Errors:  Client is responsible for accuracy of list as well as for any issues of etiquette.  See Crane’s Blue Book for guidelines.

 

Format of addresses:  When I write, I offer either a staggered indent

Zip codes can be either on same line as city/state or centered on bottom line, or “stylized”= stretched out on last line. 

 

FOR RECEPTION:

 

Lists submitted via emailed Word doc. 

 

  • Escort/Seating cards:  As these are generally small, I suggest not to use first names unless needed to differentiate guests (“Simple” names).  Insert card or flap on tent card will have table assignment (numeral).  

  • If tent cards are used,  I will need table assignments with corresponding name.   

  • If using small envelopes and insert cards, I do not need to know individual seating assignments---just how many of each table number to write.  One insert card for each envelope.

  • Place cards go at each individual place setting and can be either formal (Ms. Jones) or informal (Betty Jones). 

 

  • Table cards go on each table to identify it either by number (1, 2, or One, Two) or by name if you chose to name your tables.

 

  • For convenience of my clients, I carry Crane’s escort envelope sets and tent cards (white or ecru) at standard retail prices and Fabriano Medioevalis (hand molded with deckeled edge insert card), off white only.
